Hi folks,

Here's the latest update for the approved fan submitted panels for this year. I'm sorry for the slightly awkward formatting of this list, the forum software doesn't make it too easy to make a nice and neat tabular format. The list has the panel names and tentative days for the panels to which they are being scheduled. Those without days doesn't mean that they won't go on the day requested (they almost all will), I just haven't got them 100% to where I'll say they definitely won't switch days. Further updates will be more explicit with times and room location, and i'll most likely just link to an in progress schedule via html rather than post with the goofy formatting here.
If you don't see your panel here or a panel you think should be on the list, please let me know, so I can make corrections. This panel also just FYI not complete in terms of panels that are done and hosted by guests of the convention and/or other annual constants. (and doesn't include any of the meetups except for the two - Gaia and Ohayocon Forum - that are bigger than just standard meetups wink.gif ) So shoot me any ideas for meetups that you would like to see happen.

I have begun collecting the comped panelist badge information, and have begun entering in panelist badge data into the reg system. This is for the badges that constitute a free admission to the con. Each panel receives one(1) comped panelist badge (for the 'head panelist'), and each other panelist that is not a head panelist but is a panelist on three(3) panels (or at least 3 hours if a panel is a multi-hour event, per my discretion) is also eligible for a comped panelist badge. If you have pre-registered via the online system and paid by PayPal and you receive a comped panelist badge, you will be refunded via paypal. If you pre-registered at last years convention, at ohayocon's table at another convention, or via mail - and you receive a comped panelist badge, other arrangements will be made for a reimbursal at-con. All eligible comped panelist badges will be in the system by Dec 25, 2009 (Merry Xmas!). If there is something/one missing or incorrect i'll work to get it fixed.

I am working to try and get a solution to provide non-comped 'panelist badges' for those that will still be panelists but not eleigible for a comped membership, but I will keep you informed of how that goes.

again, the list isn't entirely completely frozen until I say oruntil I get the descriptions off to publication for inclusion in the program book, so i will keep my ears
open for good ideas, but the window is nearly gone smile.gif

I stickied it.

Ryan - you should see a pull-down box at the bottom of the page that says "Moderation Options". In that menu is a selection to pin the thread. That should take care of making it sticky.

Sweetness looks like panels are pretty much split between Friday and Saturday. I'm glad knowing my voice won't die because of so much talking.

Didn't notice tryout panels listed in your all-encompassing list...don't forget, we need one on Friday for Tic Tac/Press Your Luck, one for Saturday for Password and one for Sunday for Concentration.

In the smallest room you got and at least two hours before showtime for Tic Tac, Password and Concentration respectively.

They are there in the schedule. they're just not on this list. The list isn't 'all encompassing', just primarily ones that are fan submitted and/or some staff submitted ones. I threw in some standards (karaoke, etc) to make sure they weren't missed smile.gif. And wanted to make sure your shows were up front in mind smile.gif

Due to sheer temporal physics, there definitely will be more panels on Saturday than on Friday smile.gif. I'm doing my best to even things over the days for people that run multiple panels, and to make sure we're not putting too many of one type/genre of panel on either day. I've learned a lot since when I first drew up a con schedule in 1998 smile.gif.

For those getting badges...if we pre registered you said we would be refunded...when does the refund happen?

Also, for panelist badges do we just pick them up when we arrive at the con?

The only meet-ups on this list are ones that were explicitly submitted by people as full on events ( In this case, Gaia and Ohayocon Forum), which have been on-going and have been run more like panels before.

I did not add anything to this particular list that wasn't explicitly submitted, so things like:
Animal Crossing
Pokemon Pearl & Diamond Party (that's run by an artist guest dave lister iirc)
Steampunk
WoW: Horde v Alliance
nerdfighters
etc

that have happened before but don't have an explicit leader/organizer to submit them, they will happen, they were just not included in the list.


But if there's any meetup-type event you believe should happen, PLEASE SEND THEM MY WAY smile.gif, I can only do so much mind-reading and forum-grazing smile.gif . they are easy to deal with on my end and if I have enough, it will make it easier to designate a distinct room/area to hold them in.

I've put in a handful of panelist badges into the system as I've tested my procedures out. When I add a panelist badge in for someone who has pre-registered, i'm recording the badge type (when, id of that reg, type, cost, email). I will have all the badges entered by christmas day (barring not getting all info for people who are not already in the system from having a previous/current year reg). I will send ohayo's financial officer the information for the registrations that were handled with online payment, and he will refund those paypal registrations. I do not yet know the timeframe as to how quickly that will happen, but I do not believe it will be a slow process. I have not yet sent over the information for the badges I have already done. For those that pre-registered at another con with cash, or via mail, we'll have a reimbursement plan to be handled at-con.

Badges will be picked up at live events, which will be in one of the rooms across from registration. Myself or one of the live events staff will be there with badges. We plan to be open with badges with the same hours as registration. I should be pretty easy to notice, I plan to be wearing a #71 Colts jersey with GAVV on the name. We're working on a solution for making non-comped panelist badges for those that don't qualify for a free badge, so you'll be able to say and show and remember that you were on a panel smile.gif.
